Choosing the Right File Sync and Share Solution

File Sync and Share resized 600Businesses have long depended on a variety of solutions to share files. More than just network server shares, today’s business users need reliable ways to track file changes, share files across a variety of devices both inside and outside the network, and make certain that synced copies of files are managed properly.

Services like Dropbox and Box.com started out as personal ways to share files, but business users have brought these personal solutions to bear on their jobs, creating a variety of security and compliance concerns for IT departments and business managers.

The file sync and share marketplace is terribly saturated today. There are dozens of providers and solutions that purport to offer your organization the solutions it needs. But how do you make a decision about which is right for your company?

There are two essential areas you need to examine.

1. Ease of use

The first thing you need to consider is how easy it will be to adopt a new file sync and share solution. Some are much easier to implement than others. Some have a certain learning curve, while others are fairly straightforward and intuitive.

In addition to the question of ease of implementation, there is the question of how easy it will be for your users to actually use the file sync and share solution. You want a solution that works when and where your employees need to use it, and one that doesn’t require massive amounts of administrative overhead or hassle for your already overtaxed IT department.

2. Security

In the early days of file sync and share solutions, security concerns were much more of an issue than they are today. More and more, solutions providers are implementing world-class security measures to protect your data.

That doesn’t mean you can ignore security altogether; in fact, one of the major components of the solution vetting process is taking a long hard look at security standards of the file sync and share solution, as well as how it will integrate with your existing security policies and procedures. Still, your choice of secure providers is much deeper than it would have been just five years ago.
